3. In accordance with the Association’s Articles of Association, your application requires formal approval by the Executive Board. After submitting your application, you will receive an email with notice of approval of your membership.

Data Protection Statement
European Beat Studies Network e.V. (the “Association”) collects, processes and stores your personal data in accordance with the EU General Data Protection Regulation (the “GDPR”). These data include:
- First name
- Surname
- Email address
- Country of residence
- Institutional affiliation
- Biographical details
- Banking/credit card details
- Image and video material

* Managing Association business (membership application, meeting announcements, nomination forms, etc.)
* Handling membership issues
* Sending out reports on Association activities (which may include photos and videos with your likeness)
* Posting information about you on the Association’s website (which may include a photo of you for certain roles in the Association)
3. Legal basis for processing your personal data
a. For performing a contract (Article 6(1)(b) GDPR):
The processing of your personal data may be necessary to fulfil our duties in relation to you as member. This relates to the processing of the mandatory information in the membership application. By submitting the membership application, you acknowledge that the Association will collect, process and store these data.
b. Your consent (Article 6(1))(a) GDPR):
In cases where your personal data are processed other than to perform a contract, we obtain your consent. This relates to the processing of the voluntary information in the membership application, as well as to the sharing of your email address with other members of the Association for Association purposes, the posting of your image on the Association’s website in certain cases, the sharing of your name and email address with service providers that handle digital voting, and the sharing of your name, email address and banking/credit card details with service providers that process payments you make to the Association. By submitting the membership application, you consent to the collection, processing and storage of these data by the Association and its service providers.
c. Legitimate interests of the Association (Article 6(1)(f) GDPR):
Where we publish image and video material on the website or elsewhere about Association gatherings and this material includes your likeness, your personal data are processed for the purposes of the legitimate interests pursued by the Association.
4. Duration of storage
As a rule, your personal data will be stored for the duration of your membership and will then be promptly erased should your membership end.
5. ElectionBuddy
For the purposes of holding digital elections, the Association uses the services of ElectionBuddy, owned by ElectionBuddy Inc., with registered office at 8008 104 Street #217, Edmonton, Alberta, Canada T6E4E2. In this regard, the Association provides ElectionBuddy with your name and email address. The Association has no control over the processing of your personal data by ElectionBuddy. 6. Stripe
For the purposes of processing payments that you make to the Association by credit card and/or SEPA bank transfer, the Association uses the services of Stripe, owned by Stripe Technology Europe, Limited, with registered office at The One Building, 1 Lower Grand Canal Street, Dublin 2, Ireland. In this regard, the Association provides Stripe with your name, email address and banking/credit card details. The Association has no control over the processing of your personal data by Stripe. 7. Your rights
* You have the right to request from the Association access to and rectification or erasure of personal data or restriction of processing concerning you or to object to processing.
